All Payment Methods, One Environment

All Payment Methods, One Environment

Paying in hospitality requires more than just a card machine at the counter. Your guests want to settle the bill in the way that suits them: at the table, at the counter, via a QR code, or online. And all of this without separate contracts, segregated reports, and fragmented administration.

Xootle Pay solves this with a complete payment solution that merges in-person and online payments into one account, one dashboard, and one integrated environment, specifically designed for the hospitality market and small businesses.

Xootle Pay supports all common payment methods, both on-site and online. Your guests can pay with PIN, contactless, via QR code, iDEAL/Wero, credit card, or digital wallets like Apple Pay and Google Pay. Payment methods that are predominantly used in certain countries are also supported. No need to activate or switch by method; everything works directly within the same payment environment, without separate PSP integrations.

In addition to standard transactions, Xootle Pay supports:
  • Payment requests and payment links for deposits, no-shows, additional shipments, and quote payments.
  • Split payments, multiple guests at a table pay their own share.
  • Tips, integrated into the checkout process.
  • Refunds and partial refunds, processed swiftly, visible immediately to your guest.
  • Subscriptions and recurring payments for memberships, fixed services, and periodic expenses.

Payment Terminals Suitable for Every Work Situation

Xootle Pay works with all customary payment hardware. Choose a fixed counter terminal, a wireless handheld terminal for table payments, or a mobile terminal for outdoor terraces and events. With SoftPOS (Tap to Pay), you can turn an enabled device into a payment terminal.

Xootle can supply the necessary hardware. Alternatively, you can use your own equipment via Tap to Pay.

Terminals support multiple connection options and automatically switch between WiFi and 4G/5G. To ensure full security, additional offline payment processing is available as a contingency.

Tap to Pay: Turn Your Phone into a Payment Terminal

Tap to Pay allows contactless payments using just a smartphone. Customers simply hold a payment card, credit card, smartwatch, or mobile wallet against your phone, and the transaction is processed immediately. There's no longer always a need for a separate card machine.

This is especially beneficial for small businesses, couriers, market vendors, hospitality venues, hairdressers, coaches, and mobile service providers. Those who work on-site or have limited counter space can settle payments quickly and professionally with Tap to Pay.

How does Tap to Pay work?
Tap to Pay uses NFC technology—the same technology customers use to make contactless payments in stores. As a business owner, you install a payment app from a bank or payment service provider. Then, activate Tap to Pay, enter the amount, and allow the customer to pay by holding their card or phone against your device.

Depending on the provider, Tap to Pay is available on iPhone, Android, or both. Known companies in the Netherlands focus mainly on entrepreneurs who want to accept payments via an app, without any extra payment devices.

Benefits for Entrepreneurs
The primary advantage is convenience. You don't need to purchase or carry around a separate card device. This lowers the barrier to accept card payments. Plus, it's easy and quick to start since setup is generally via an app.

Additionally, Tap to Pay looks professional. Customers increasingly expect to pay contactlessly, especially for small amounts, at events, for deliveries, or appointments on-site, which can speed up the payment process.

Is Tap to Pay safe?
Yes, Tap to Pay is designed for secure contactless transactions. Card details are encrypted, and transactions go through the payment provider. The business does not see the complete card details. It is important, however, to use only official apps from reputable providers and to keep your phone secure with updates, PIN, or biometric access.
Online Payments

Online Payments: Let Guests Pay How and When It Suits Them

Whether guests pay upfront via your website, receive a payment request via WhatsApp, or are automatically charged for a subscription, Xootle Pay takes care of it. No separate systems, no loose integrations.

Choose the method that suits your situation:
  • Pay via your website; guests settle on a secure payment page matching your brand.
  • Send a payment link; email, WhatsApp, or SMS payment requests. Ideal for deposits, no-shows, or delayed payments without needing a webshop.
  • Automatic recurring payments for regular guests, memberships, or repeat services.
Fully Integrated Payments

Fully Integrated Payments

Xootle Pay isn't just a standalone payment system; it's integrated within the Xootle platform. This means payments seamlessly work with the POS, property management system, reservations, e-commerce, and bookkeeping. There are no external integrations or manual synchronizations needed.

How the Payment Flow Works in Practice
  1. Create an order in Xootle
  2. Your staff chooses when to settle the bill
  3. Select a payment method: terminal, Tap to Pay, QR code, or payment link
  4. Your guest pays
  5. Print or digitally send the receipt
  6. The payment is immediately and accurately recorded in receipt, reports, and administration

The entire flow proceeds without separate systems or manual input.

Automatic Synchronization of Payment Data

All payment data, including transactions, refunds, tips, fees, chargebacks, and disputes, are automatically synchronized. You only need to set the payout schedule to align with your cash flow.
One Dashboard for All Transactions

One Dashboard for All Transactions

Xootle Pay provides a single central dashboard where all your transactions are consolidated, regardless of channel. Transactions can be filtered by location, employee, terminal, channel (in-person or online), and time frame. This way, you can see daily turnover per location, identify peaks, and spot deviations.

Revenue Control and End of Day

Daily turnover and bank payouts typically differ by at least one day; a transaction is considered complete at the time of successful processing, not upon receiving the bank credit. The following day, an automatic synchronization with the bank can occur to match payouts with the corresponding transactions. You can link one IBAN per location to keep turnover for each location clear.

Security and Compliance Xootle Pay

Security and Compliance

PCI DSS
Xootle Pay provides a PCI-compliant payment solution. Transaction processing, verifications, and security infrastructure are handled by a certified payment platform licensed by the Dutch Central Bank, valid across Europe. Sensitive transactions do not occur within the Xootle environment itself; Xootle relays payment instructions and receives the results.

Additional Security Layer
Beyond standard PSD2 and SCA controls, Xootle adds its own control layer. Data streams are delivered via secure connections and checked against an internal algorithm that verifies data consistency and logic. If anomalies are detected, the transaction is blocked before processing.

Fraud, Chargebacks, and Dispute Management

Fraud handling, chargebacks, and disputes are processed in accordance with the guidelines of the Dutch banking sector, relevant regulators, card companies, and payment partners. Every step is documented and verifiable.

GDPR and Data Storage
All data is stored in compliance with GDPR. Only data with a legitimate purpose is retained. Payment card information such as card numbers and CVC codes are never stored by Xootle Pay.

Onboarding and Implementation

Go Live Quickly, No Technical Hassle

You can start as soon as onboarding is completed. During onboarding, you can already set up your environment, prepare connections and settings, and test payment flows in a sandbox environment. This way, everything is validated before going live.

Standard verification details are required for onboarding: KYC, Chamber of Commerce registration, UBO statement, and a bank account.

Rolling Out Multiple Locations

If your locations are registered under the same responsible person or entity, one onboarding suffices to roll out all locations. You link one IBAN per location, making expansion quick and straightforward, without repeated administrative processes.
Uptime and Support Xootle
